Guidelines


Conference Registration Guidelines:


  • 1. Conference registration will commence at 8:00 AM on October 02, 2026, in Dubai, UAE.


  • 2. At the registration desk, participants will receive their ID badge and the conference program schedule.


  • 3. For any assistance or queries, please approach the on-site organizer.


  • 4. The registration fee can be paid in cash to the on-site organizer. Prior to this, kindly confirm your participation via email and request the organizer’s name from us.

Speaker / Poster Presentation Guidelines:

  • 1. Understand the audience profile in advance to customize your presentation effectively, considering their professional background, interests, and expertise level.


  • 2. Support your talk with slides, charts, and visuals that are clear and concise. Avoid excessive text and overcrowding. Use readable font sizes and high-contrast color combinations.


  • 3. Structure your presentation with a clear introduction, main content, and conclusion. Start with an overview and conclude with summary or key takeaways. Practice multiple times to ensure smooth delivery and proper timing.


  • 4. Submit all presentation materials (slides, videos, etc.) by the deadline specified by UCGConferences.


  • 5. Presentations must be prepared in PowerPoint format and should be compatible with the conference audiovisual setup.


  • 6. Carry a backup copy of your presentation on a USB drive or cloud storage to avoid technical difficulties. Please arrive at the venue at least 30 minutes before the conference begins.


  • 7. Provide a short biography to the session chair for your introduction, including your name, designation, affiliation, and notable achievements.


  • 8. Encourage audience interaction by inviting questions and discussions, and respond clearly and concisely.


  • 9. Speak clearly at a comfortable pace and minimize the use of technical jargon unless it is commonly understood by the audience.


  • 10. Maintain audience engagement through eye contact, appropriate gestures, and movement. Avoid remaining stationary throughout the presentation.


  • 11. Use relevant visuals, charts, and examples to strengthen understanding and support your key points.
  • 12. Please note that the conference program may be subject to minor changes due to unforeseen circumstances.


  • 13. Each speaker is allotted 20–25 minutes. Plan your talk for 20 minutes to accommodate introductions and Q&A.


  • 14. Poster presenters are allocated 15 minutes in total. Prepare a 10-minute presentation to allow time for introductions and questions.


  • 15. To maintain the schedule, kindly ensure that your presentation starts and ends as per the allotted time slots.
  • 16. All presentations must be delivered in English.

Virtual Presentation Guidelines:

  • 1. The virtual presentation option allows speakers and poster presenters worldwide to present their research remotely without traveling.


  • 2. Prior to the conference, all registered virtual participants will receive an invitation email containing a personalized user ID for accessing the virtual meeting.


  • 3. Virtual participants are required to join the meeting 30 minutes early to prevent last-minute delays or technical issues.


  • 4. Each virtual speaker will be given 20–25 minutes. Prepare a presentation of 17–19 minutes to allow time for introduction and Q&A.


  • 5. To follow the official conference program, please begin and conclude your presentation strictly according to the scheduled timings.


  • 6. Presenters should have the final version of their presentation ready and open on their device, as screen sharing will be required during the session.


  • 7. If you prefer to submit a recorded presentation instead of presenting live, please send both the recorded video file and PowerPoint presentation within 10 days prior to the conference start date.

Certification Guidelines:

  • 1. All participants will receive a delegate certificate signed by the organizing committee. The name and affiliation will be printed as per our records; any corrections or changes must be communicated one month before the conference.


  • 2. Certificates will be distributed during the session or after its completion; therefore, participants are requested to remain present until the session concludes.


  • 3. E-certificates will be emailed within 2–3 working days after the conference concludes.


  • 4. Co-authors who do not attend the conference will not be issued certificates.
